COLLECTING RENT

How to collect rent from tenants online

Quick answer

For most small landlords, bank transfer (ACH) through a rent-collection service is the best default: low cost to the tenant, a clean record of every payment, and automatic reminders and receipts. Offer card as a backup. Payment apps are quick but often meant for personal use and leave messy records; cash and checks create the most work and risk.

How you collect rent shapes the whole landlord experience: how often you chase, how clean your records are, and whether tax season takes an hour or a weekend. Here are the options, honestly compared.

The options at a glance

Method Speed Cost to you Records Main risk
Cash Instant None Only what you write down No proof; safety; required receipts in many states
Check Days (mail + deposit) None Bank statement Bounced checks; trips to the bank
Payment apps Minutes Often none on personal accounts Scattered across apps App terms; hard-to-reverse transfers; messy year-end
Bank transfer (ACH) A few business days Low Clean, automatic Can be returned days later
Debit/credit card Fast to authorize Processing fees are higher Clean, automatic Fees; disputes

Cash

Cash is simple until you need to prove a payment. If you accept it, always give a numbered receipt — several states require one for cash rent — and deposit it promptly into the rental's account. Our rent receipt generator makes one in a minute.

Checks

Checks leave a bank record, but they arrive late, get lost, and bounce. A bounced check usually shows up days after you thought rent was paid. If you take checks, write the check number on the receipt and in your ledger.

Payment apps

Peer-to-peer apps are fast and familiar. Before relying on one:

  • Read the terms. Some apps say personal accounts aren't for business payments; business accounts may charge fees.
  • Know the reversal rules. Instant transfers can be hard to undo if something goes wrong — on either side.
  • Think about records. Rent arriving through several apps means rebuilding a year from screenshots at tax time.

Bank transfer (ACH)

ACH transfers move money directly from the tenant's bank account to yours, typically for little or no cost to the tenant. Through a rent-collection service they can also send reminders before the due date, issue receipts automatically, and record every payment in a ledger.

The one thing to understand: ACH takes a few business days to clear, and a payment can be returned days later (for example, for insufficient funds). Treat rent as paid once it has cleared, not when it's initiated.

Debit and credit cards

Card payments are quick and convenient for tenants, and useful as a backup when a bank transfer fails. Processing fees are higher than ACH. Whether you can pass a card fee on to the tenant depends on your state's rules and your lease — check before you add one.

Set it up once, then let it run

Whatever you choose, the setup that prevents most problems is the same:

  1. One primary method, written into the lease, with one backup.
  2. A reminder a few days before rent is due.
  3. A receipt for every payment, automatically.
  4. A ledger that records every charge and payment with a running balance — the rent ledger template builds one.
  5. A separate account for the rental's money.

Most late rent is forgetfulness. A system that reminds, collects, and records on its own removes most of the chasing — and most of the awkward conversations.

Common questions

What is the best way to collect rent?

For most small landlords, online bank transfers (ACH) through a rent-collection service: they're low cost, traceable, and can run automatically with reminders and receipts. Card payments are a useful backup.

Can I use Zelle or Venmo to collect rent?

Many landlords do, but check each app's terms — some say personal accounts aren't meant for business payments, and instant transfers can be hard to reverse. Records are also scattered, which makes tax time harder.

How long do ACH rent payments take?

ACH bank transfers usually take a few business days to clear. A payment can also be returned days later (for example, insufficient funds), so treat rent as paid only once it has cleared.
