Always for cash — it's the only record the payment happened, and several states require a written receipt for cash rent. For checks and bank transfers the bank keeps a record, but a receipt still ties the money to a specific month, which a bank statement doesn't.
Tenants ask for receipts more than you might expect: as proof of address, for a mortgage or apartment application, or for a renter's tax credit in some states. An annual summary — one receipt totalling the year — answers most of those requests in one page.
If a tenant pays part of the rent, write the balance still owed on the receipt. Depending on your state, accepting a partial payment can affect an eviction already in progress, so if you're in that situation, check your state's rules before you take the money.
QUESTIONS
The date paid, the amount, the period it covers, the property address, the tenant's name, the landlord's name, the payment method, a receipt number, and any balance still owed. A receipt without the period covered is the one most likely to cause a dispute later.
Rules vary by state and often depend on how rent is paid — cash payments are the most common case where a written receipt is required. Giving one for every payment is good practice either way: it's your proof as much as your tenant's.
Tenants often use rent receipts as proof of residence or of on-time payment history. An annual receipt summarizing the year's payments is handy for that.
