COLLECTING RENT
How to write a rent receipt
A rent receipt needs: a receipt number, the date received, the amount, the rent period it covers, how it was paid, the tenant's name, the property address, and your name or signature — plus any balance still owed if the payment was partial. Give one for every payment, and always for cash.
A rent receipt takes a minute to write and can save hours later — in a dispute, at tax time, or when a tenant needs proof of their payment history. Here's what to include and when.
What every rent receipt needs
- A receipt number, in sequence, so a missing one stands out.
- The date you received the payment — not the date rent was due.
- The amount received.
- The rent period it covers — e.g., "October 1–31, 2026."
- How it was paid — cash, check (with the check number), bank transfer, card.
- The tenant's name.
- The property address (and unit number).
- Your name or signature as the person who received it.
And if the payment didn't cover everything owed: the balance still due.
An example
Rent receipt #0014 — October 3, 2026 Received from Sam Rivera the sum of $1,450.00 for rent of 1420 Elm St, Unit B, Plano, TX for the period October 1–31, 2026, paid by check #2231. Balance due: $0.00. Received by: Jordan Lee
The rent period is the line that matters most. "$1,450 received October 3" tells you nothing about which month it paid — and that's precisely the question in most rent disputes.
When you need to give one
- Cash: always. It's the only proof the payment happened, and several states require a written receipt for cash rent.
- Checks and transfers: the bank keeps a record, but a receipt ties the money to a specific month and property. Good practice for every payment.
- On request: tenants often need receipts for apartment or mortgage applications, proof of address, or tax credits.
Partial payments
Write the amount received, the period it applies to, and the balance still owed. If you're in the middle of an eviction, be careful: in some states accepting a partial payment can affect a notice or case already underway. Check your state's rules first.
Annual rent receipts
One receipt summarizing the whole year — total rent received, the property, the period — answers most tenant requests in a single page. Our rent receipt generator has an annual mode.
Keep a copy
Every receipt you issue is also your record. Keep copies with the tenant's rent ledger so the two always agree.
Or skip writing them entirely: rent-collection software that issues receipts automatically on every payment keeps both sides' records without anyone lifting a pen.
Common questions
Does a landlord have to give a rent receipt?
Requirements vary by state and are most common for cash payments. Giving a receipt for every payment is good practice regardless — it's your record as much as your tenant's.
Can a rent receipt be handwritten?
Yes. A handwritten receipt from a receipt book is valid as long as it includes the key details. Printed or emailed receipts are easier to keep and search.
What is an annual rent receipt?
A single receipt summarizing the total rent a tenant paid for the year. Tenants use it for proof of residence, applications, and in some states renter's tax credits.
